Microsoft on new Universal Print features

Drucker[German]Microsoft announces Universal Print Anywhere A quick update from this week. Microsoft has announced that Universal Print Anywhere is now generally available. With this new feature, users can print securely from any location and retrieve their documents from any printer using pull printing. This feature only works with Microsoft software.

Microsoft Universal Print

Universal Print Anywhere enables users from different locations within the company to send print jobs to any printer in the company. To this end, Microsoft has integrated a now generally available "pull print" function. This builds on the existing secure sharing functions of Universal Print and enables users to print without first having to select a specific printer.

  • Employees can initiate a print job on a company printer from any device in the company without having to select a target printer first.
  • The employee then goes to the desired printer, authenticates themselves on the device, and can securely retrieve the desired print jobs on that device.

This is intended to prevent confidential documents from being left unattended in the printer. It also aims to reduce toner and paper waste caused by uncollected printouts.

Administrators can enable this feature by following these steps:

  • Printer registration: Printers are registered with Universal Print either directly or via the Universal Print Connector.
  • Secure release configuration: Administrators configure the secure release option for each printer they want to include in the pull printing feature.
  • User authentication: Users print as usual on the pull print printer and then authenticate themselves at any configured member printer to retrieve their jobs.

Universal Print Anywhere is authorized using a QR code on the device where the printing is to take place. The QR code is generated by the administrators for each device and attached to the printer (see).

The user identifies themselves at the desired company printer using this QR code, which unlocks the print job and retrieves it on the device.

Scanning requires the Microsoft 365 mobile app, which is available on Android devices in app version 16.0.16501 or higher and on iOS devices in app version 2.76.

Universal Print Anywhere is available to Microsoft 365 organizations worldwide at no additional cost, i.e., it is included in the existing Universal Print license.
