Is Office 365 been causing HP printer/scanner malfunctions since August 18, 2025?

Drucker[German]Last week, I received a reader's tip about a problem involving Microsoft 365 Office apps and HP multifunction devices with scanning functionality. Since August 18, 2025, there have been increasing reports that scanning no longer works in this environment. HP has confirmed that changes made by Microsoft to MS 365 have broken the Scan2Mail, Scan2OneDrive, and Scan2Sharepoint functions.

A reader's report

Brief information for administrators of Microsoft 365 subscriptions who have HP MFP (multifunction printers) and use it also for scanning in their inventory and who use the Scan2Mail, Scan2OneDrive, and Scan2Sharepoint functions. German blog reader Florian W. had already reported the issue on August 22, 2025, by email under the subject line "HP printer malfunction in combination with O365" (thanks for the tip). Florian W. wrote that he wanted to report that there is "currently" a malfunction with Microsoft 365 that may also affect other blog readers.

Scan feature fails on HP devices

The reader writes that his company serves several customers with various HP printer models. All of these customers use either the Scan2Mail or Scan2Sharepoint function. This is implemented natively on the respective HP printer.

The Scan2Mail, Scan2OneDrive, or Scan2Sharepoint functions allow users to scan from the relevant HP multifunction device and send the result directly by email or store it on SharePoint or OneDrive shares. To do this, a corresponding Microsoft 365 account must be set up. I already pointed out a similar problem in the article Microsoft Office 365: Ricoh Scan error "Cannot connect to SMTP server".

Problem since August 18; repair attempts unsuccessful

The reader wrote that since August 18, 2025, more and more customers have been contacting the reader or IT support to report that scanning no longer works.

The reader wrote: "We tried everything. From firmware updates to checking login logs via Powershell." Unfortunately, nothing worked. The reader added that he had spoken to HP Support on August 20, 2025.

HP Support confirms problem

HP Support confirmed to the reader that Microsoft had made changes that meant the Scan2Mail/Scan2OneDrive and Scan2Sharepoint functions could no longer be used.

HP technicians are already working on a solution based on the support representative's statement. Unfortunately, the support representative was unable to provide any further information as the issue is still too fresh.

    I can provide an update on this issue.

    Microsoft hardened their tenant security defaults and deactivated Basic Auth.
    As a result the devices cant scan anymore to Sharepoint. There is an firmware update for some devices which enables Microsoft Login with Modern Auth.
    But the user will have to login everytime for every scan. HP support confirmed that this is expected behavior and will not change. This will break the functionality for our customers who use a supported device as they cant enter their Microsoft account everytime they scan a page…
